How do I record a purchase from a distributor?
Recording purchases keeps your inventory and supplier balances correct automatically — no separate registers to maintain. Here's the flow from a delivery arriving to your books being up to date.
Record a purchase
- Go to Purchasing → Purchases in your pharmacy panel.
- Select the supplier (or add a new one).
- Add each product with its pack size, trade price, retail price, quantity, tax/discount, and batch & expiry.
- Save — stock increases, batches are created, and the supplier ledger updates.
Purchase orders & GRN
For a fuller workflow, create a Purchase Order, approve it, then record a GRN (goods received note) when the stock physically arrives, followed by the supplier invoice and payment. Each step keeps your records and balances accurate and gives you a clean paper trail.
Supplier balances
- Credit purchases increase what you owe the supplier.
- Record payments to reduce the outstanding balance.
- Supplier-outstanding reports show who you owe and how much, at a glance.
Tip: enter accurate batch and expiry data at purchase time — it's what powers your expiry alerts and correct, safe dispensing later on, and it's far harder to fix after the fact.
